What this covers
This policy covers fieldreadyacademy.com, its courses, and ServiceForge, the equipment troubleshooting knowledge base you reach through an AI assistant such as Claude or ChatGPT. It explains what we collect, why, where it lives, who can see it, and how to have it removed.
What we collect
- Account. When you sign in, our sign-in provider (WorkOS AuthKit) gives us your email address, a name if you entered one, and an account identifier. We use these to recognise you across devices and to attribute what you contribute.
- Course progress. Test results, lesson completion and study plans are kept in your browser. When you sign in they are also stored on our server so they follow you between devices.
- Feedback. Ratings and comments you leave on lessons and questions, stored with your account identifier if you were signed in, and reviewed by us.
- ServiceForge contributions. Fixes, confirmations, part numbers, PM reports, access codes, and catalog models or names you log through your AI assistant, stored with your account identifier, the name of the AI assistant that sent them, and the time.
- ServiceForge leaderboard preference. Whether you chose to appear on the public contributor leaderboard and the display name you chose for it.
- Usage. Google Analytics 4 records page views and general usage with cookies or similar identifiers. Our servers keep standard connection logs for a short time to operate and secure the service.
What we do not collect
- Patient information. ServiceForge is for equipment facts only. Every submission is screened for patient identifiers and rejected if any are found. Do not submit patient names, record numbers, dates of care or anything else about a patient.
- Your conversations. We receive only the arguments your AI assistant sends to ServiceForge tools and the records we return. We do not receive, store or reconstruct your chat history.
- Payment details. Everything is free while we launch; there is no payment step.
How we use it
- To run the courses and sync your progress.
- To build and improve the shared ServiceForge knowledge base. Contributions are shared with other technicians without your name or email; a record shows only what was done and how it turned out.
- To count contributions for the ServiceForge rewards: the free-year code earned at twenty contributions in a year and, if you opt in, the public leaderboard under the display name you chose. Your name appears publicly only if you opt in, and you can opt out at any time through your AI assistant.
- To answer support requests and to read feedback.
- To understand how the site is used, in aggregate.
Who else sees it
- Your AI assistant. Whatever ServiceForge returns passes through the assistant you connected it to (Claude, ChatGPT, Gemini, Copilot). Their handling of that data is governed by their own policies.
- Service providers. WorkOS (sign-in), Hetzner (hosting), Google (analytics). Each processes data only to provide its service to us.
- Other technicians. De-identified contributions, confirmation counts, and, if you opted in, your display name and contribution count on the leaderboard.
- We do not sell personal information, and we do not share it with advertisers.
How long we keep it
Account data stays until you ask us to delete it. Contributions stay in the knowledge base after an account is deleted, with the link to the account removed, because other technicians rely on them. Analytics data follows Google's retention settings, which we keep at the default. Connection logs are kept for days, not months.
Your choices
- Use the courses without signing in; progress then stays only in your browser.
- Opt in or out of the ServiceForge leaderboard at any time by telling your AI assistant.
- Retract a ServiceForge contribution you logged by mistake through your AI assistant.
- Block analytics with a browser setting or extension; the site works the same.
- Ask us for a copy of your data, a correction, or deletion of your account using the contact below.
Children
The site is for working and prospective technicians. It is not directed at children under 13, and we do not knowingly collect their information.
Changes
When this policy changes we update the date at the top. Significant changes are announced on the site.
